SUMMARY OF RESPONSIBILITIES:

Performing autonomously, specific complex / advanced installations, maintenance works and repairs depending on special/technical requirements, according to supervisor’s instructions and MSF standards and procedures, to ensure a proper functioning and maintenance of MSF equipment, installations and infrastructures.

Ensure parts availability, stock accuracy, cost control, and service continuity, directly enabling workshop productivity, fleet uptime, and risk mitigation.

KEY DUTIES AND RESPONSIBILITIES

 

Inventory and spare parts supply

  • In charge of centralized and decentralized spare parts and consumables stock for three partner entities.
  • Maintain optimal stock levels using minimum/maximum consumption trends and reorder points.
  • Ensure real-time accuracy of stock records (stock cards, movement forms, IR etc.).
  • Maintain a structured spare parts system integrated with workshop operations at Suka level and in the region.
  • Establish and maintain accurate stock records, labelling, and tracking through Excel-based systems and computerized inventory systems (e.g., Track My Stuff/ Track My Fleet).
  • Ensure adequate stock levels to prevent shortages while avoiding overstocking and obsolescence by the support of the workshop supervisor and manager.
  • Prepare and follow regular stock counts, reconciliations, and variance reports.
  • Forecast spare parts requirements based on consumption trends, preventive maintenance plans, and upcoming vehicle fleet activities in collaboration with the workshop supervisor and manager.

Procurement handling

  • Prepare (electronic-Internal Requests) based on forecast demand and maintenance plans.
  • Collaborate with procurement departments to ensure timely sourcing of spare parts.
  • Validate technical specifications and compatibility of ordered parts with fleet standards.
  • Participate in supplier evaluations and quality assessments to ensure reliability and compliance with MSF technical standards in collaboration with the workshop supervisor and manager.
  • Supporting the region by close collaboration with procurement department.

Workshop support and technical liaison

  • Support workshop teams in identifying, cross-referencing, and verifying required parts during repair and maintenance operations.
  • Establish and maintain a database of approved parts, technical references, and supplier details in collaboration with procurement.
  • Follow closely with workshop supervisors and mechanics to ensure accurate parts issuance, return, and consumption documentation.
  • Support mechanical workshops with parts identification and referencing & Service kits preparation breakdown.

• Maintain proper documentation for receiving, issuing, and disposal of parts.

Process optimization and data reporting

  • Implement inventory control procedures aligned with MSF supply chain policies
  • Generate periodic analytical reports on stock performance, consumption rates, lead times, and cost trends.
  • Develop and train staff on best practices in parts storage, identification, and record management.
  • Identify inefficiencies and propose improvements in stock management workflows
  • Contribute to standard operating procedures SOPs) and capacity-building initiatives.

Safety, compliance, and quality control

  • Ensure compliance with MSF procurement policies, as well as safety and environmental standards.
  • Ensure controlled access to stock areas and enforce accountability measures

QUALIFICATIONS / SKILLS

 

REQUIREMENTS:

Education: Diploma in Mechanical Engineering, Automotive Logistics and Supply Chain Management or recognized formal training in mechanics/motor-vehicles is essential.

Experience: Two (2) years of experience preferably in Automotive stock management.

Desirable, at least two years previous working experience either in MSF or other NGOs.

Knowledge: Computer literacy (Excel, word and power point skills, Proficiency in stock-taking cycles, and first-in-first-out (FIFO) processes.

Competencies: Good communication skills, Excellent organization and time-management skills, quality control, integrity and accountability, relationship management, accuracy, Teamwork and Cooperation, Behavioural Flexibility;
